Privacy Policy

1. Scope and contact

This Privacy Policy explains how Beacon processes information through beacon-bot.site, the Beacon dashboard and the Beacon Discord bot. Questions and privacy requests can be sent to help@beacon-bot.site. Beacon is independent from Discord Inc.; Discord separately controls its own platform processing.

2. Information we receive

Depending on the feature, Beacon may receive a Discord user ID, username, avatar URL, server ID, channel ID, role ID, message ID, selected settings, timestamps, moderation actions, ticket content, uploaded media URLs, request metadata and an email address when you contact support. We aim to collect only information needed for the requested feature.

3. Login and dashboard

When you use Discord login, Beacon receives the account information Discord makes available for authorization. We use it to create a session, recognize your account, show servers you are authorized to manage and provide dashboard actions. Session information is kept only as long as needed for login, security and account continuity.

4. Bot features

When a server administrator enables a feature, Beacon processes the relevant Discord identifiers and content to provide it. Welcome panels use configured copy and server/member context. Sticky notes use the selected message and media. Tickets use the messages and participants needed for support. Automod and logs use the message, channel, action and timestamp information needed for moderation and audit history.

5. Purposes and legal bases

We process information to operate requested services, authenticate users, save server configuration, deliver moderation and community tools, prevent abuse, troubleshoot incidents, respond to support requests and comply with legal obligations. Depending on the context, the legal bases may include performance of a requested service, legitimate interests in security and reliable operation, consent where requested, and compliance with a legal obligation.

6. Server administrators

For data that a server administrator instructs Beacon to process for a Discord server, the administrator may determine the purpose and means of processing. Administrators are responsible for their notices, permissions, retention settings and lawful instructions to members. They should avoid enabling logs or transcripts for information they do not need and should request deletion when appropriate.

7. Sharing and providers

Beacon shares information only with providers needed to operate the website and bot, such as Discord for platform delivery and authentication, Cloudflare for hosting and edge delivery, and technical email or security providers where required. Providers receive the information necessary for their role and are expected to apply appropriate confidentiality and security measures. We do not sell personal information or use it for behavioral advertising.

8. Retention

Configuration remains while the bot is installed or the feature is enabled. Ticket, moderation and audit records remain according to server settings and operational needs, and may be removed after the server administrator requests deletion or removes the relevant feature. Security records are normally retained for a limited period needed to investigate abuse and incidents. Support conversations are normally retained while the request is active and for a reasonable period afterward.

9. Cookies and local storage

Beacon uses technically necessary browser storage for language preferences, login state and requested interface behavior. We do not intentionally load non-essential analytics or advertising trackers. Your browser may still receive cookies or similar technologies from Discord or other third-party services when you use their services or follow external links.

10. Security

We use reasonable technical and organizational measures appropriate to the service, including access controls, transport security and limited retention. No internet service can guarantee absolute security. If you believe an account, server configuration or message was accessed improperly, contact help@beacon-bot.site promptly.

11. Your choices and rights

Depending on applicable law, you may request access, correction, deletion, restriction, portability or information about processing, and you may object where processing is based on legitimate interests. You can also remove Beacon from a server, log out of the dashboard and contact the server administrator for records they control. Send requests to help@beacon-bot.site; we may ask for enough information to verify the request.

12. International processing

Beacon and its providers may process information in countries different from where you live. Where required, appropriate safeguards are used for international transfers, such as an adequacy decision or contractual safeguards. Contact us if you need more information about the safeguard relevant to a particular request.

13. Children

Beacon is not intended to collect information directly from children outside the age allowed by applicable law. Server administrators must configure communities appropriately and must not use Beacon to target children unlawfully or collect unnecessary information about them.

14. Updates

We may update this Privacy Policy when features, providers or legal requirements change. The date above identifies the current version. Material changes will be reflected on beacon-bot.site. If you have questions about a change, email help@beacon-bot.site.
